The 9 best tools for a team to answer Instagram DMs from a desktop (2026)
October 27, 2026 · 8 min read
For a small team answering Instagram DMs from a computer, start with Meta Business Suite. It's free on desktop, holds Instagram DMs and Messenger in one inbox, and lets you assign a conversation to the teammate who should answer it. If your team also answers TikTok and YouTube comments, schedules posts, and wants replies drafted in your voice, BetterSocials Team is $99 a month for unlimited teammates. Per-user tools like Agorapulse, Hootsuite and Sprout Social cost the most once three people need a seat.
BetterSocials is our product, so read this list knowing we build one of the tools on it. We read every price and feature on the vendor's own page on October 22, 2026.
Why does a team need a shared inbox for Instagram DMs?
Instagram only lets a business answer a DM within 24 hours of the person's last message. Miss it and the conversation is closed to you until they write again. Our help page on the Instagram DM reply window explains the rule, and it applies to every tool on this list.
When one phone holds the DMs, the window closes on weekends, on busy days, and whenever the person with the phone is out. A shared inbox puts the same DMs on every teammate's screen, each with their own login. Someone sees the question about price or booking while it's still answerable, and the buyer gets a reply instead of a silence.
What does a shared Instagram inbox cost for a team of three?
Per-user pricing is where team inboxes get expensive. The table shows each tool at three people, on the prices we read October 22, 2026.
| Tool and plan | How it bills | 3 people, billed yearly | 3 people, monthly |

| BetterSocials Team | Flat, unlimited teammates, 12 accounts | $79/mo | $99/mo |

| Later Growth | Per plan, 2 users, extra users | $37.50/mo + $3.75/mo = $41.25/mo | $50/mo + $5/mo = $55/mo |

| Vista Social Professional | Per plan, 2 users | $80/mo for 2 users | $99/mo for 2 users |

Add a fourth person and the per-user rows grow again. The flat and per-workspace rows don't.
1. Meta Business Suite: best free starting point
Meta Business Suite is free on desktop and in its mobile app. Its Inbox lets you read and reply to messages and comments from your Facebook Page, Messenger and Instagram account in one place.
For a team, the useful part is assignment. You can assign conversations in Inbox to different people on Messenger and Instagram. To work in the Inbox, a teammate needs Facebook access to the Page or task access to Messages.
Adding people takes someone with full control of your business portfolio: go to People, then Invite people. New people get basic access by default, and they have to accept the invite. Meta also offers partial access for tasks like responding to messages, and temporary access from 3 to 75 days.
The limits: it covers Meta's apps only, so TikTok and YouTube comments live elsewhere. Meta's keyword automations send templates you write, are set up on desktop, and wait 15 minutes before sending unless you reply first. Meta's help center also notes some organic messaging features are unavailable for conversations to and from Europe and Japan.
2. BetterSocials: best when the team handles DMs, comments and posting
BetterSocials Team is $99 a month, or $79 a month billed yearly, for 12 social accounts and unlimited teammates. You invite each teammate by email from Settings, then Team. Creator and Pro are one login each, so Team is the plan for a shared inbox.
The Inbox holds Instagram, Facebook and TikTok DMs next to comments from Instagram, Facebook, TikTok, YouTube, Threads and LinkedIn Company Pages. Needs reply shows what's still waiting and Replied shows what's done, so the team can see at a glance who's been answered. Every new message gets a tag, like Lead for questions about price, booking or availability, and a new lead sends a push notification to the owner's phone.
DMs stay with people. AI assist drafts a DM reply in your voice when a teammate clicks it, and a person sends it. The AI never sends a DM on its own. The only automatic DM is the one a keyword comment triggers on Instagram or Facebook.
The same plan schedules posts to six platforms, so the team that answers the DMs can also see what went out. For the daily routine, see how to reply to Instagram DMs faster without hiring anyone.
3. Planable: best for unlimited users on a budget
Planable Basic is $39 a month per workspace, or $33 billed yearly, with unlimited users. Its Social Inbox is a paid add-on at $9 a month per workspace, or $90 a year.
The add-on covers DMs from Facebook and Instagram, and comments from Facebook, Instagram, LinkedIn and TikTok. If your team is large and the budget is small, the workspace price is hard to beat.
4. Later: best if your team already plans posts in Later
Later's Conversations inbox starts on Growth: $50 a month, or $37.50 a month billed yearly, with two users. Extra users cost $5 a month each, or $3.75 billed yearly.
Conversations handles Instagram DMs, comments and mentions, Facebook DMs and comments, and TikTok comments. If your team already schedules in Later, keeping the DMs there is the simplest move.
5. Manychat: best for keyword flows with a small inbox team
Manychat Pro is $39 a month, or $29 a month billed yearly. It includes 2,500 active contacts a month, three users and two inbox seats, with a third seat at $25. Past the contact allowance, Manychat charges $0.05 per extra active contact on monthly billing.
An active contact is anyone who messages, comments or replies to a story through Manychat in that billing month, and the count resets monthly. So your bill moves with how many people write to you. For what that looks like at scale, see BetterSocials vs Manychat.
6. Vista Social: best for two people with many profiles
Vista Social Professional is $99 a month, or $80 a month billed yearly ($950 a year), with 15 profiles. The plan card says two users; its FAQ still says three, so confirm before a third person joins.
Its engagement tools manage messages, comments and reviews in one place.
7. Agorapulse: best per-user inbox with a long trial
Agorapulse Standard is $79 per user a month billed yearly, or $99 per user paid monthly, with 10 social profiles. Its inbox handles messages and organic comments, and the free trial runs 30 days, long enough to test with your real DMs.
At three people, that's $237 a month billed yearly.
8. Hootsuite: best if your team already lives in Hootsuite
Hootsuite Standard is $99 per user a month, billed yearly, with up to 10 social profiles and a unified inbox. Check the plan before you buy for a team: DM automations start on Professional ($199 per user a month), and assigning messages to teammates starts on Advanced ($399 per user a month), both billed yearly.
Hootsuite offers a 14-day trial without a credit card.
9. Sprout Social: best for support teams with a per-seat budget
Sprout Social's inbox starts on Standard at $199 per seat a month billed yearly, or $249 a month billed monthly. Essentials doesn't include it. The trial runs 30 days.
Sprout is built for teams with a budget per seat. For two or three people sharing DMs, it's the largest bill on this list.
Which one should your team pick?
If your team only answers Instagram and Facebook, start with Meta Business Suite. It's free, it assigns conversations, and you can add a paid tool later.
If the same people also answer TikTok and YouTube comments, schedule posts, and want reply drafts in your voice, a flat-priced shared inbox saves the per-seat math. BetterSocials Team covers twelve accounts and unlimited teammates for $99 a month.
Try it with your own team for seven days. Start your free trial or see how the inbox works.
Frequently asked questions
Can several people answer one Instagram account's DMs from a computer?+
Yes. Meta Business Suite lets you invite teammates, give them task access to Messages, and assign conversations in Inbox, all free on desktop. Shared inbox tools like BetterSocials, Later, Agorapulse and Hootsuite give each teammate their own login to the same DMs.
Is Meta Business Suite enough for a team?+
Often, yes. It's free, works on desktop, and assigns conversations on Messenger and Instagram. It covers Meta's apps only, so a team that also answers TikTok or YouTube comments, or wants replies drafted in its voice, needs another tool.
How much does a shared Instagram inbox cost for three people?+
On prices read October 22, 2026, billed yearly: Meta Business Suite is free, BetterSocials Team is $79 a month flat, Later Growth with a third user is $41.25 a month, Agorapulse is $237 a month, Hootsuite Standard is $297 a month, and Sprout Social Standard is $597 a month.
Do my teammates need the Instagram password?+
No. In Meta Business Suite, teammates get their own access through your business portfolio. BetterSocials connects your account through Meta's own login screen, and each teammate signs in to BetterSocials with their own email.
Can AI answer Instagram DMs for my team?+
In BetterSocials, AI assist drafts a DM reply in your voice when a teammate clicks it, and a person sends it. The AI never sends DMs on its own. The only automatic DM is the link a keyword comment triggers on Instagram or Facebook.
Why does reply speed matter for a team inbox?+
Instagram only lets a business reply to a DM within 24 hours of the person's last message. After that, the conversation is closed until they write again. A shared inbox with a Needs reply view shows the team what's still waiting while there's time to answer.
