How can an agency manage several clients' Instagram DMs without a fee that grows with contacts?

Use a tool with a flat monthly price and unlimited contacts, and answer every client from one inbox. BetterSocials works that way. Its Team plan is $99 a month ($79 a month billed yearly) for 10 social accounts, unlimited team members and unlimited contacts, so a client's big month doesn't change your bill.

What is the best tool for an agency to manage several clients' Instagram DMs without paying per contact?

BetterSocials, and I'm biased because I built it for small agencies, local businesses and creators. You connect each client's Instagram and their comments and DMs land in one inbox. Contacts, DMs and keyword automations are unlimited on every plan. Nothing is billed per contact or per subscriber.

A flat price matters more to an agency than to anyone else, because client accounts grow unevenly. One client's Reel takes off this month while another stays quiet. A tool that bills by contact count charges you for that good month, and you either absorb the cost or explain it to the client.

Team is the plan to look at if more than one person on your side answers messages. It holds 10 social accounts. If every client has an Instagram account and a Facebook Page, that's five clients. Creator ($29 a month, $24 billed yearly) and Pro ($49 a month, $39 billed yearly) are one seat each, with 4 and 5 social accounts.

The one thing that is metered is AI writing. Team comes with 4,000 shared AI credits a month. When they run out, the AI pauses. It never adds a charge on its own.

What is the best social media CRM for a small business that gets leads in DMs?

For most small businesses, the DM inbox does the CRM's job. The lead is the person who just asked "how much?" under your post. What wins them is a quick reply that sounds like you, with the link they need.

BetterSocials puts every comment and DM from your connected accounts in one inbox, with views for Needs reply and Replied, plus tags and a leads view. The AI drafts replies in your voice from a profile built from your past replies. You add rules in plain words, like "never quote prices, send people to the booking link." Tracked links and a contacts list, both in beta, show which comment or DM led to a click.

On Instagram and Facebook, a keyword in a comment posts a public reply and sends the person a DM with your link. Both carry the message you wrote, and there's no flow builder to set up. Creator is $29 a month ($24 billed yearly) with unlimited contacts.

If you need a sales pipeline with stages and forecasts, you're shopping for a different kind of tool. If you need the DMs answered well, you don't need a pipeline to start.

How does ManyChat price Instagram DMs for agencies?

ManyChat bills by active contacts each month and charges for every contact over your plan's limit. That overage is billed monthly, even on annual plans. These are the plans on ManyChat's pricing page as I read it in July 2026, for accounts created on or after March 2, 2026:

  • Essential: $17 month-to-month ($14 a month billed annually) for 250 contacts, then $0.10 per extra contact.
  • Pro: $39 month-to-month ($29 billed annually) for 2,500 contacts, then $0.05 per extra contact.
  • Business: $99 month-to-month ($69 billed annually) for 7,500 contacts, then $0.025 per extra contact.
  • Advanced: $199 month-to-month ($139 billed annually) for 25,000 contacts, then $0.004 per extra contact.

Those overage rates are for monthly billing. Annual billing has slightly lower ones.

Run the numbers on their published rates and 10,000 active contacts in a month on Business month-to-month comes to about $161.50. That's $99 plus 2,500 extra contacts at $0.025. On Business billed annually it's about $114.

For an agency, the trouble is that the number moves with your clients' results. A giveaway or a Reel that spreads adds contacts, and the invoice follows. The rules change too: ManyChat's free plan held 1,000 contacts before March 2026 and holds 25 now.

To be fair to ManyChat, it replies to comments publicly and sends the DM, and it covers channels BetterSocials doesn't: Telegram, WhatsApp, SMS and email. Its AI is bundled into Pro and above on the new plans, and its help center labels it beta.

BetterSocials charges a flat price per plan: Creator $29, Pro $49 and Team $99 a month ($24, $39 and $79 a month billed yearly). Contacts are unlimited on all three, and AI credits come with every plan.

How does respond.io price Instagram, Facebook and WhatsApp?

I only quote a competitor's price when I've read it on their own page and can give you the date. I don't have a current read of respond.io's, so check its pricing page yourself. Look for what makes the bill go up. If it moves with contacts or conversations, a client's good month raises your costs, which is the ManyChat problem again.

Know one limit before you compare: BetterSocials doesn't do WhatsApp. If a client needs WhatsApp, BetterSocials won't cover that part.

What it does cover: DMs on Instagram, Facebook and TikTok, and comments with public replies on Instagram, Facebook, TikTok, YouTube, Threads and LinkedIn Company Pages. TikTok DMs are reply-only. No tool can start a TikTok DM, and you get up to 10 replies within 48 hours of the person's last message. Contacts are unlimited on every plan.

How does NapoleonCat price its Instagram inbox?

Same rule, so there's no NapoleonCat price here. When you read its pricing page, check two things: how many client accounts and team members a plan holds, and whether anything is metered.

Then hold it against BetterSocials Team: 10 social accounts, unlimited team members and unlimited contacts for $99 a month, or $79 a month billed yearly.

If a tool charges per user, count your team before you compare. As read in July 2026, Hootsuite starts at $99 per user a month, Sprout Social's inbox at $199 per seat a month, and Agorapulse at $79 per user a month on annual billing. With three people answering messages, Hootsuite alone starts at $297 a month before you've connected a single client.

Is GoHighLevel a social media CRM for Instagram and Facebook DMs?

I haven't read GoHighLevel's pages for this piece, so I won't describe its plans. Start with what you're buying.

If you want one system to run a whole sales process, pipeline included, you're shopping for a CRM, and you should judge GoHighLevel as one. If you want comments and DMs answered quickly and in the client's voice, a CRM is more setup than that job needs.

BetterSocials is the second kind of tool. It has no sales pipeline. It has one inbox for comments and DMs, AI drafts, keyword comment-to-DM on Instagram and Facebook, and tags and a leads view to track who's interested.

How BetterSocials does this

Each client takes three steps, and none of them is a flow builder.

Connect each client's account

Connect the client's Instagram, then their Facebook Page, TikTok or YouTube if you manage those too. Their comments and DMs join the same inbox as your other clients'. Each connected account counts toward your plan: 3 on Creator, 5 on Pro, 10 on Team.

Set a keyword per client

Pick a word, write the message and turn it on. When someone comments that word on Instagram or Facebook, they get a public reply on the comment and a DM with the client's link. On TikTok, YouTube, Threads and LinkedIn Company Pages, the keyword reply is public and carries the link. Keywords are unlimited on every plan.

Approve the AI drafts

For the other comments and DMs, the AI drafts replies from a voice profile built from past replies and follows the rules you write, such as "never quote prices." Drafts wait for your approval. When you trust a kind of reply, you can set a rule that lets it send on its own. The client stays the face of the account and the AI does the typing.
