Instagram DM tools that send med spa booking links (2026)
November 1, 2026 · 8 min read
For a med spa or salon, the best Instagram DM tool answers price and availability questions inside Instagram's 24-hour reply window and sends people to your booking link. BetterSocials is best for owners who want AI replies written from their own prices, hours and booking link, from $29 a month for four accounts. Manychat is best for keyword campaigns, and Meta Business Suite is the free starting point.
We built this guide from Meta's developer documentation on Instagram messaging and from vendor prices recorded in October 2026. Every price below carries its billing period and the month it was seen.
What a DM tool has to do for a med spa or salon
Instagram decides what any DM tool can do for a med spa or salon, so we start with the rules and then sort the tools by how they work inside them. That is the angle of this piece: the windows, the caps and the counts first, then the prices.
A client DM at a spa or salon is usually one of three things. It's a price question about a treatment, a question about an open slot, or a story reply. The tool's job is to answer the first two fast, send the booking link, and flag the person who is ready to book.
Speed matters because of a platform rule. Instagram only lets a business reply to a DM within 24 hours of the person's last message. After that, the conversation is closed to every tool until they write again. A DM that sits until tomorrow evening can't be answered from any app on the official API.
Which DM tools fit a salon or med spa in 2026, and what each costs
BetterSocials leads this list because the job here is answering DMs from your real facts, which is what its AI replies are built for. The other four each suit a different spa.
The prices below were recorded in October 2026 from vendor figures.
| Tool | Price seen | Billing | Pricing model | Best for |
|---|---|---|---|---|
| BetterSocials | $29 a month, 4 accounts | Monthly, or $24 yearly | Flat, unlimited contacts | AI replies from your rules |
| Manychat | $39 a month on Pro | Monthly | Per active contact | Keyword campaigns |
| Meta Business Suite | Free | None | Free | Simple keyword templates |
| Hootsuite | $99 per user a month | Billed annually | Per user | Teams with several staff |
| Sprout Social | $199 per seat a month | Billed annually | Per seat | Larger clinic groups |
BetterSocials
Best for a solo owner or small salon that wants DMs answered in minutes from written rules. Creator is $29 a month, or $24 billed yearly, for four accounts and one login. Pro is $49 a month, or $39 billed yearly, for six accounts. On Reply in my voice, a DM gets an answer about a minute after it arrives.
Manychat
Best for promotions where a keyword in a comment or DM sends the booking link. Manychat works on Instagram, Messenger, WhatsApp and TikTok. Pro is $39 a month with 2,500 active contacts, billed monthly, as of October 2026.
The free keyword option in Meta Business Suite
Best for a spa that wants a free keyword reply and nothing more. Meta Business Suite is cheaper than every paid tool here, because it's free. Its keyword automations send templates you write, or Meta Business Agent, are set up on desktop, and wait 15 minutes before sending unless you reply first.
Per-seat inboxes from Hootsuite and Sprout Social
Best for a clinic group with several people sharing one inbox. Hootsuite includes its inbox from Standard at $99 per user a month, and Sprout Social puts its inbox on Standard at $199 per seat a month, both billed annually as of October 2026.
Where Fresha, Boulevard, Vagaro and GlossGenius fit next to a DM tool
Fresha, Boulevard, Vagaro, GlossGenius and Mangomint are booking platforms, and the booking platform owns your calendar. A DM tool answers the question in Instagram and sends the person to that calendar. A spa can run one of each.
The question to put to your booking platform is narrow. Ask whether its Instagram connection answers the message itself, or whether it gives you a booking page to send. The answer decides whether you need a second tool at all.
If your booking platform doesn't answer DMs, the DM tool's only booking job is to send the right link. In BetterSocials, the booking link goes into your AI rules, and links you write into your own rules are kept when the AI replies. In Manychat, the link goes into the flow you build for each keyword.
Keep one rule in mind when you pair them. The booking link only helps inside the reply window. A DM reply sent more than 24 hours after the person's last message can't go out through any tool on the official API.
Manychat's contact meter on a busy month for a salon
Manychat bills by active contacts. Pro includes 2,500 active contacts for $39 a month. Each extra contact costs $0.05 on Pro, $0.10 on Essential and $0.025 on Business, billed monthly, as of October 2026.
So a Pro account that reaches 4,000 people in a month pays $39 plus $0.05 for each of the 1,500 extra contacts, a bill of well over a hundred dollars. A busy promotion month is the one that pushes a salon past the included contacts.
BetterSocials prices the same job differently. Every plan has unlimited contacts and unlimited keyword automations, and nothing is billed per contact. AI writing is metered by credits instead: each AI reply uses one credit, and Creator includes 1,000 a month. When credits run out, the AI pauses and the bill doesn't rise on its own.
Manychat suits a spa that runs keyword promotions and builds a flow for each one. A template answers the questions you predicted.
When GoHighLevel or respond.io makes sense for a clinic
GoHighLevel is a full CRM with calendars and funnels. Pick it when you want the CRM, the pipeline and the follow-up sequences, with Instagram DMs as one part of that system.
respond.io is conversation management software for teams that answer customer messages. It fits a clinic with a front desk team and client records to keep in sync.
A single owner or a two-chair salon usually needs less. The work is answering price and availability questions quickly and sending the booking link, and a DM tool covers that without a CRM project behind it.
The Instagram limits every DM tool works under
Meta's developer documentation sets the same limits for every tool on the official Instagram API, BetterSocials and Manychat included. We list them here with the source named for each.
The limits below come from Meta's developer documentation, checked between July and October 2026.
| Rule | Limit | Applies to |
|---|---|---|
| DM reply window | 24 hours after their last message | Every tool on the API |
| Private reply to a comment | One, within 7 days | Every tool on the API |
| Non-follower DMs | Land in message requests | Every tool on the API |
| Private reply calls | 750 an hour per account | Posts and reels |
| Live comment replies | Only during the broadcast | Instagram Live |
On comment-to-DM, Meta's private replies documentation states: "Only one message can be sent to the Instagram user who commented. The message must be sent within 7 days from when the comment was created." The conversation only continues inside the 24-hour window once the person responds.
Where the message lands depends on the follow. Meta says it is "delivered to the Instagram user's Inbox folder, if the Instagram user follows the Instagram professional account, or to the Instagram user's Request folder, if the Instagram user does not follow the account."
There's no workaround for the window on Instagram. Meta's policy says "One-time notifications are not available for IG Messaging API" and "Sponsored messages are not available for IG Messaging API." You can still reply from the Instagram app itself, which has no window.
How BetterSocials answers a med spa's DMs inside those limits
BetterSocials answers Instagram, Facebook and TikTok DMs with AI replies drafted from your voice and from AI rules you write. A rule is a plain sentence, such as "never quote prices, send people to the booking link" or "mention we are closed Mondays."
The AI replies setting has two sections, Comments and DMs, each with three choices. Off means you write every reply. Draft for me drafts each reply the moment a DM arrives, and nothing sends until you approve it. Reply in my voice answers a DM about a minute after it arrives.
Questions are the careful part for a spa. They wait in Needs reply unless you turn on Answer questions too, which only switches on once you've written at least one AI rule. When your rules don't cover what someone asked, such as a price you never listed, the DM waits for you instead of getting a guess. After five AI replies in one conversation in a day, the rest wait for you too.
Every new DM gets a tag on arrival. Lead marks someone asking about price, booking or availability, and a new lead sends a push notification to your phone. Story replies and voice notes land in the Inbox with a plain label, and they get no AI reply.
Creator is $29 a month, or $24 billed yearly, for four accounts and one login. Pro is $49 a month, or $39 billed yearly, for six accounts. Team is $99 a month, or $79 billed yearly, for twelve accounts and unlimited teammates. Every plan has a 7-day free trial with a card required.
Frequently asked questions
What is the best Instagram DM automation for a med spa?+
Pick a tool that answers price and availability questions from your real facts and sends the booking link. BetterSocials does this from AI rules you write, from $29 a month for four accounts. Manychat suits keyword campaigns, and GoHighLevel suits a spa that wants a full CRM.
Does Manychat book appointments from Instagram DMs?+
Manychat sends a DM with your booking link when someone comments or messages a keyword, and you build the flow yourself. Pro is $39 a month with 2,500 active contacts, then $0.05 for each extra contact, billed monthly.
Is there a free way to auto-reply to Instagram DMs?+
Yes. Meta Business Suite's keyword automations are free and send templates you write, or use Meta Business Agent. They're set up on desktop and wait 15 minutes before sending unless you reply first.
How fast should a med spa answer Instagram DMs?+
Answer within minutes when you can. Instagram only lets a business reply to a DM within 24 hours of the person's last message, and after that the conversation is closed to every tool until they write again. On Reply in my voice, BetterSocials answers a DM about a minute after it arrives.
Will an AI quote the wrong price for a treatment?+
It shouldn't, if the tool answers only from your rules. In BetterSocials, you write prices, hours and the booking link as AI rules. When a question falls outside them, the DM waits for you in Needs reply instead of getting a guess.
