How gyms turn Instagram DMs into members in 2026
November 2, 2026 · 8 min read
A gym turns Instagram DMs and comments into members by answering price, class and trial questions inside Instagram's reply windows, with the booking link in the answer. BetterSocials is best for a gym that wants AI replies written from its own prices plus keyword DMs, at $29 a month for four accounts. Meta Business Suite is best for answering by hand for free, and Manychat for multi-step DM sequences.
Instagram's clock is the deadline a gym's replies run on
Instagram gives a business 24 hours from a person's last message to reply through any app, and one private reply to a comment within 7 days. We're logging this one as a rules explainer: the windows and the counts first, then the tools that work inside them. Each rule and price below carries the month it was seen.
The questions a gym gets on Instagram are short and specific. How much a membership costs. When the next class runs. Whether there's a free trial class.
You already know every one of those answers. The job of a tool is to send the right one while the window is open, with the booking link attached. A comment-to-DM automation, a term we use throughout, is a rule that sends a private message when someone comments a word you chose, such as TRIAL.
Six tools for gym DMs and comments, priced in 2026
BetterSocials sits first in our table because one plan covers AI replies from your own rules and keyword DMs. The table compares six tools a gym is likely to weigh. Prices are a month unless marked yearly, as of October 2026, except Agorapulse's, which is as of July 2026.
| Tool | Best for | Answers with | Price |
|---|---|---|---|
| BetterSocials | AI replies plus keyword DMs | AI replies from your rules | $29 a month, 4 accounts |
| Meta Business Suite | Answering by hand for free | Templates or Meta Business Agent | $0 |
| Manychat | Multi-step DM sequences | Keywords and flows you build | $39 a month, 2,500 contacts |
| Agorapulse | Front desk teams sharing replies | Staff, with saved replies | $79 per user, yearly |
| Hootsuite | Teams already scheduling there | Staff, in a shared inbox | $99 per user, yearly |
| Sprout Social | Gym chains with marketing teams | Staff, in a shared inbox | $199 per seat, yearly |
Meta Business Suite is the cheapest, at $0, and it covers a gym that answers every message by hand. What BetterSocials Creator buys for $29 a month, or $24 billed yearly, is AI replies written from your prices and a keyword that DMs your trial link. Manychat's Pro plan, at $39 a month as of October 2026, covers 2,500 active contacts before overage starts.
Manychat's comment trigger and what its contact meter costs
Manychat sends a DM when someone comments your keyword on an Instagram post or Reel, through its Instagram Post and Reel Comments trigger. Its flow builder then runs a sequence of messages after the first one. That builder is where Manychat earns its place.
Manychat works on Instagram, Messenger, WhatsApp and TikTok. Pro is $39 a month with 2,500 active contacts, and each extra contact costs $0.05, billed monthly. Essential charges $0.10 per extra contact and Business charges $0.025.
So a Pro account that reaches 4,000 people in a month pays the $39 plan price plus $0.05 for each of the 1,500 contacts over the limit, well over a hundred dollars. The month a Reel does well is the month the bill goes up. BetterSocials bills by account instead, and Creator is $29 a month for four accounts with unlimited contacts.
Pick Manychat if your gym needs WhatsApp or a multi-step sequence after the keyword. Pick BetterSocials if you want the comments and DMs answered from your prices without building flows.
Meta Business Suite's free inbox and its 15-minute wait
Meta Business Suite gives a gym a free inbox for Instagram and Facebook comments and messages. It's the right start for an owner who answers by hand. Its keyword automations send templates you write, or Meta Business Agent, and they're set up on desktop.
Meta Business Suite automations wait 15 minutes before sending unless you reply first. As of July 2026, each keyword message automation caps at five case-sensitive keywords. Meta Business Agent, the business-side AI, pauses your existing automations when you turn it on.
Meta's own help page on managing comments sets the comment limit plainly: "You can't send a message in response to comments posted more than 7 days ago." A comment older than a week is past that line.
Hootsuite and Sprout Social price the inbox by the seat
Hootsuite includes its inbox from Standard at $99 per user a month, billed annually, as of October 2026. Sprout Social puts its inbox on Standard at $199 per seat a month, billed annually, as of October 2026. Agorapulse is $79 per user a month on annual billing, as of July 2026.
Agorapulse's pricing page lists assigning comments and messages, saved replies and AI reply suggestions in its inbox. BetterSocials puts YouTube comments in the same inbox as Instagram and Facebook DMs. Sprout Social fits a gym chain with a marketing team and reporting needs.
Because these plans charge per user, every front desk login adds the full seat price to the bill, and three logins on Sprout Social run to several hundred dollars a month. BetterSocials Team is $99 a month, or $79 billed yearly, for twelve accounts and unlimited teammates. Pick Hootsuite if your gym already schedules its posts there.
Instagram's DM rules, counted and dated
Instagram sets four limits that decide whether a gym's reply reaches the person who asked. They apply to every tool on the official API, BetterSocials included.
- Instagram lets a business reply to a DM through an app only within 24 hours of the person's last message. Every new message from them restarts the clock, and you can still answer in the Instagram app after it closes.
- Meta's private replies documentation allows one DM per comment: "Only one message can be sent to the Instagram user who commented. The message must be sent within 7 days from when the comment was created."
- The same page says a private reply lands in the person's Inbox folder if they follow you, and in their Request folder if they don't. Someone who found your gym from a Reel and hasn't followed yet gets your DM in requests, so a public reply telling them to check there helps.
- Comments on a live class follow a tighter rule: "private replies on Instagram Live Story comments can only be sent during the live broadcast," per the same Meta page.
Sent and delivered are different counts. A tool shows sent when Meta accepts the message, and Instagram doesn't report which folder it landed in.
How BetterSocials answers a gym's comments and DMs
BetterSocials puts a gym's Instagram, Facebook, TikTok and YouTube comments and DMs in one inbox and drafts each reply in the owner's voice. Since October 23, 2026, its AI replies answer Instagram, Facebook and TikTok DMs as well as comments, with TikTok DMs for accounts outside the UK and Europe. The setup runs in three steps.
- 1Connect the gym's Instagram and Facebook from Connected Accounts. Every comment and DM lands in the Inbox, and each new one is tagged Lead when it asks about price, booking or availability. A new lead sends a push notification to the owner's phone.
- 2Write AI rules, plain sentences with your membership prices, class times and trial booking link. In Settings, then AI voice, set Comments and DMs to Draft for me or Reply in my voice. On Reply in my voice, a DM gets an answer about a minute after it arrives.
- 3Add a keyword such as TRIAL under Comment to DM. On Instagram and Facebook, a comment with that word gets a public reply and a DM with your link.
Questions wait in Needs reply for your approval unless you turn on Answer questions too, which only switches on once you've written at least one AI rule. When your rules don't cover what someone asked, the AI doesn't guess and the message waits for you. After five AI replies in one conversation in a day, the rest wait for you too.
Creator is $29 a month, or $24 billed yearly, for four accounts, one login and 1,000 AI credits a month. Each AI reply uses one credit. Pro is $49 a month, or $39 billed yearly, for six accounts, and Team is $99 a month, or $79 billed yearly, for twelve accounts and unlimited teammates.
Every plan has a 7-day free trial with a card required, unlimited contacts and unlimited keyword automations. The plans are listed on the BetterSocials pricing page.

Does Meta Business Suite let a gym answer Instagram DMs and comments for free?+

BetterSocials answers from the prices, class times and booking link you write as AI rules. When your rules don't cover what someone asked, the AI doesn't guess. The comment or DM waits for you in Needs reply.
