What is the best social media tool for a dental office to answer Instagram and Facebook messages?
October 19, 2026 · 7 min read
The best social media tool for a dental office to answer Instagram and Facebook messages depends on volume. Meta Business Suite is free and holds both inboxes. BetterSocials, a social media management platform, adds AI replies in the office's voice, lead tags for booking questions and keyword comment-to-DM, from $29 a month for four accounts.
The short answer for dental offices
Checked October 16, 2026.
Sort your office by message volume. If the front desk sees a few messages a day and clears them between patients, Meta Business Suite covers it at no cost. If questions about cleanings, openings and prices pile up after hours, BetterSocials drafts replies in your office's voice and puts booking questions first.
The stakes are plain: a patient who asks about booking and waits is a patient who may book elsewhere. Same-day answers matter.

What are the best social media inbox tools for a dental office in 2026?
Five tools fit a dental office, and each one wins somewhere different. The prices below come from each vendor's own pages, read October 16, 2026. ManyChat, Hootsuite and Sprout Social are quoted on annual billing.
| Tool | Price | Billed by | Strength | Best for |
|---|---|---|---|---|
| Meta Business Suite | Free | Free for everyone | Free inbox for Meta apps | A few messages a day |
| BetterSocials | From $29 a month, four accounts | Flat plan, unlimited contacts | AI drafts in your voice | Questions piling up after hours |
| ManyChat | From $14 a month | Per active contact | Multi-step flows, WhatsApp and SMS | Offices building automated sequences |
| Hootsuite | From $99 per user a month | Per user | Inbox from Standard | Groups with several staff |
| Sprout Social | From $199 per seat a month for the inbox | Per seat | Inbox from Standard | Multi-location groups |
Meta Business Suite wins on price. It is free on desktop and in its mobile app, and it holds your Facebook Page, Messenger and Instagram messages and comments in one inbox. Its automations send templates you write yourself.
BetterSocials wins when the volume outgrows one person at the desk. It drafts replies in your voice, tags booking questions as leads the moment they arrive, and sends a link by DM when someone comments your keyword. Other tools read Instagram and Facebook comments too. What we add is drafts, lead tags and comment-to-DM in one flat plan with unlimited contacts.
ManyChat does keyword-to-DM well. It wins if you need multi-step flows or WhatsApp and SMS. It bills per active contact, from $14 a month billed annually, and it leaves posting to a separate tool.
Hootsuite includes its inbox from Standard, at $99 per user a month billed annually, so the bill grows with every person you put on the inbox. BetterSocials Team is $99 a month for ten accounts with unlimited teammates.
Sprout Social puts its inbox on Standard, at $199 per seat a month billed annually, so a single office pays for each person. BetterSocials Pro is $49 a month for five accounts.
What does Meta Business Suite do for Instagram and Facebook messages?
Meta Business Suite gives you one free inbox for your Facebook Page, Messenger, Instagram and WhatsApp Business messages, plus comments on your Facebook and Instagram posts. Everything below comes from Meta's help pages and developer docs, read October 16, 2026.
The inbox shows only connected business assets, so comments on a personal profile stay out. You can assign conversations to the people who help with messages, as long as they have access to the Page or to its messages. That suits a front desk where two people share the work.
Automations
Meta's automations cover away messages, hours, location, FAQs and custom keywords, all listed on Meta's automations help page. Keyword automations run only in Meta Business Suite on desktop. Each one holds up to 5 keywords or phrases, and the same keyword works in only one automation.
The matching is strict. Keywords are case-sensitive, and nothing sends unless the message matches exactly. Meta also waits 15 minutes before sending a keyword reply, in case someone at the office answers first.
Every automation sends the fixed template you wrote. Meta's inbox automations write no reply drafts in your voice, so a patient asking something you did not predict waits for a person.
Time limits
Two limits shape how fast you need to move. You can't send a private message in response to a comment posted more than 7 days ago. And an app can send an Instagram DM only within 24 hours of the person's last message.
Every new message from the patient restarts that 24-hour clock. Once it closes, Meta rejects the send from every tool, ours included. Our help page on the 24-hour window, explained covers what you can still do from the Instagram app.
How BetterSocials does this
Connect your office's Instagram account and Facebook Page, and every comment and DM lands in one Inbox. Story replies, voice messages and shared posts arrive there too, each with a plain line such as "Replied to your story".
Every new message gets a tag on arrival. A question about price, booking or availability is tagged Lead and sends a push notification to your phone. Unanswered leads get at most one reminder email a day.
Replies in your voice, with your rules
You write AI rules as plain sentences, such as "never quote prices, send people to the booking link" or "mention we are closed Mondays". They apply to every draft. Under Settings, then AI voice, choose Draft for me and every new comment gets a draft the moment it arrives. On any Inbox thread, AI assist writes a draft in your voice when you click it.
Questions never go out on their own. The AI writes a draft and the comment waits in Needs reply, because it cannot know your prices or your process. Someone at the desk approves drafts one at a time or with Approve in bulk.
For a promotion, a keyword in a comment triggers a public reply and, on Instagram and Facebook, a DM with your link. There is no flow builder to set up.

Frequently asked questions
Is Meta Business Suite enough for a dental office?+
For a small office, often yes. Meta Business Suite is free and puts Facebook Page, Messenger and Instagram messages and comments in one inbox. Its keyword automations send templates you write, match keywords case-sensitively and wait 15 minutes before sending unless someone replies first. They don't draft replies in your voice.
What is the best social media inbox tool for a dental office in 2026?+
Pick by who answers and when. If the front desk handles a few messages a day, a free inbox covers it. If questions pile up after hours, BetterSocials drafts replies in the office's voice and tags booking questions as leads, from $29 a month for four accounts with unlimited contacts.
Can AI answer patient questions without quoting the wrong price?+
Yes, with rules you write. BetterSocials applies plain-sentence AI rules to every draft, such as "never quote prices, send people to the booking link". Questions never send on their own. The AI drafts a reply and the comment waits in Needs reply until someone at the front desk approves it.
Why can't we reply to an older Instagram DM from a tool?+
Instagram lets any app send a DM only within 24 hours of the person's last message, and every new message restarts the clock. After that, Meta rejects the send from every tool. You can still reply from the Instagram app itself, so answering booking questions the same day matters.
Is it safe to answer patient messages on social media?+
Keep treatment details out of social replies. Write an AI rule such as "never discuss a patient's treatment, ask them to call the office", and move clinical questions to the phone. Use social replies for hours, openings and booking links.
